7.Proof of delivery records

Our proof of delivery service captures a signature pad entry or a doorstep photo at the moment of handover. This record is our honest answer to the question that every parcel sender asks at the end of the day, which is whether the box truly arrived and to whom it was handed.

A proof record containing a recipient signature or the name of the person who accepted the parcel is personal data, because it can be linked to an individual. We treat those records with the same rules as everything else in this policy and we retain them for a sensible period that supports our contracts and our legal defence against any later dispute.

We do not publish proof records in public and we do not share them wider than the parties to the delivery. If you were the sender of a parcel, a copy of the proof belongs to you. 8.Sharing with couriers and partners

Running a live courier network means that certain details must reach the people physically moving your parcels. Within the Company, our dispatch coordinators and your assigned driver can see the pickup and delivery details they need to carry out the route. They are trained to use that access only for your run.

We also rely on a small number of trusted partners who do not sit inside the Company but whose work we cannot run entirely on our own. This includes mapping and routing software, email and phone services and our payment processor for business invoices. Each partner handles your data only under our instructions and only to perform the agreed task.

Where we connect to other delivery networks to carry a parcel beyond our own range, we share the minimum details that network needs, chiefly the destination and a recipient label. We only partner with carriers that respect data protection in the same spirit that we do.

9.Do we sell personal data

No. HF DELIVERY LIMITED does not sell personal data, and it never will. We also do not rent, trade or barter your details with marketing brokers, and we gain no benefit at all from handing your address book to a stranger.
